AI Systems & Workflow Agency · Ontario
Busywork, already handled.
It works. You approve.
We build AI-powered systems for businesses to save your team time and money. Any workflow you repeat—proposals, inbox, PDF data entry, client setup, reports, approval chases—engineered inside the tools you already use for one fixed price.
Free 20–60 min discovery call · We map the hours & cost before you spend a dollar.Stop paying skilled people
to copy, chase, and re-type.
In every growing business, the same costly admin work comes back every week: setting up new clients, keying PDFs into spreadsheets, chasing paperwork and approvals, stitching reports together, and writing first-draft proposals or replies. Buying ChatGPT or Copilot licences rarely fixes that. As your implementation agency, we wire AI directly into the tools you already use—Google Workspace, Microsoft 365, your CRM, project board, practice software, or POS—so internal steps run automatically and anything touching a client or money waits for a person to approve.
Hours back
We target repetitive workflows eating 5–20+ team hours a week so the build pays for itself in saved time.
1–4 wks
From kickoff to live in your own accounts (4–6 wks for Foundation), tested on real cases with your team.
$4.5K
Single-workflow Pilot ($6.5K for two). Fixed CAD quote—and we stay at no extra charge until it's live.
AI systems we build
Engineered inside your stack.
Not another app to learn.
Every Sprint delivers a working system across your existing software: a clear trigger, AI reading or drafting in your firm's voice, automatic updates to your records, and a human approval gate where judgment matters.

Who we build for
An AI systems partner for
businesses of any size.
You don't need a full-time AI engineer or a $25,000 strategy deck. We work with businesses where leadership can approve a $4,500–$14,500 build that pays back in saved team hours—without months of enterprise procurement.
- Marketing, creative & digital agencies — proposals from CRM notes, inbox triage, meeting-to-tasks, and weekly client status digests.
- Bookkeeping & accounting firms (ops outside the ledger) — client document chases, onboarding checklists, and inbox routing.
- Management & IT consultancies — SOW drafting, transcript action items, and cross-tool utilization/ops reporting.
- Teams already paying for ChatGPT, Copilot, or Gemini — where people dabble in chat boxes, but no connected workflow runs on its own.
- Law firms (admin only), brokerages, builders & hospitality — matter setup, transaction checklists, COI/WSIB chases, and supplier/POS ops.
Why hire an agency vs. buying AI seats
43%
AI logins are up. Connected systems aren't.
CPA Canada's October 2026 study of 5,000 CPAs put organizational AI use at 43%, up from 5% in 2023—yet only 45% reported a formal policy and 34% reported a strategy or training.
A chat licence gives your team a blank prompt box. We build the operational system around it: wiring your CRM, inbox, documents, and sheets together with policy checks, human approval gates, documentation, and ongoing support when tools change.

Good questions.
Straight answers.
Something else on your mind? Ask it in the form. A person reads every one.
Are you a software tool or an agency that builds for us?
We are an implementation agency. You don't buy a software subscription from us or ask your staff to learn a new dashboard. We design, build, test, and document custom AI-powered workflows directly inside the tools your business already uses (Google Workspace, Microsoft 365, HubSpot, Clio, Asana, ClickUp, Sheets, n8n/Make/Zapier).
How do we know a system will save time and money before we pay for a build?
We check the math first. On the free call, we estimate how many hours the workflow takes your team every week. If you want a rigorous breakdown before committing to a Sprint, our optional Written Plan ($250–$350 for the first three design partners, then $797—100% credited to your Sprint) maps weekly hours × loaded staff cost and monthly tool run-costs. If a workflow won't pay back its fee, we tell you plainly not to build it.
Can you build an AI workflow that isn't listed on this page?
Usually, yes. If a workflow repeats every week, starts from a clear trigger (a form, an email, a PDF, a stage change, a schedule), lives in tools with an API or export, and ends in a defined output (a record, a task, a file, a draft, a report), we can build it in a Sprint. Tell us about it in the form and we'll give you a straight answer.
Does the AI email our clients or touch money on its own?
No. Internal steps like extracting PDF data, filing documents, updating CRM records, and creating project tasks run automatically. Anything that reaches a client or touches money pauses at a human approval gate—so a person on your team reads and approves it before it goes out.
We already pay for Copilot, Gemini, or ChatGPT. Why hire Fair Hand?
Suite licences give individual staff a chat assistant inside one app, if they remember to prompt it. We build cross-tool operational systems—connecting your email, CRM, shared drive, spreadsheets, and project boards with consistent prompts, business rules, error alerts, and human review so the work happens reliably every day.
We're a law firm, brokerage, builder, or restaurant—not an agency. Can you help?
Yes. Matter intake, transaction checklists, subcontractor COI/WSIB tracking, daily site reports, supplier orders, and staff schedules all follow the same repeatable structure and fit the same fixed-price Sprints. For law firms we automate administrative workflows only, never legal advice, and a lawyer reviews anything client-facing.
What won't you take on?
Posting entries or tax inside QuickBooks or Xero (for bookkeeping firms we automate the office work around the ledger: inbox, onboarding, document chases), public-facing website chatbots or voice agents, cold-email/ad lead generation, and open-ended custom SaaS products.
Where does our business data live?
In your own Google Workspace, Microsoft 365, CRM, and automation accounts. We build inside your tenant and hand over the documentation and keys when we're done—so you are never locked into us.
What's included in the "until live" promise and post-launch watch?
Before sign-off, we stay at no extra charge (including up to two adjustment rounds) until every agreed workflow passes the acceptance test in your Statement of Work and is live in production. After go-live, every Sprint includes a watch period (14 days + 2 fixes on Pilot/Starter; 30 days + 3 fixes on Standard; 30 days + 5 fixes on Foundation) to fix anything that slips on real inputs.
